As we are sure you are aware, the success of our club Storm Plymouth is driven by strong leadership and energetic committee members.

We hope you agree we have managed to continue to steer this club in a positive manner and have done a decent job as stewards of the club over the past 12 months.

However, Storm Plymouthโ€™s Constitution states that all roles must be made available for re-election on an annual basis.
The current committee have gained vital experience in running Storm over the past twelve months. That said, we have raised a concern that annual re-elections for these roles does not give the committee enough time to fully bed in and explore all ideas through to completion. We feel that it would be within Stormโ€™s best interests to change our constitution to have Bi-Annual committee elections. We will propose this at the AGM at the end of this month which will be determined by a vote on the night.

For now we must follow the current procedure which will be to offer the whole membership the opportunity to put themselves forward for one of the following roles. FYI The current committee have all already announced a desire to stay on for a further term should this be the will of the club members.

The committee roles are as follows:

Chairperson
Membership Secretary
Club Secretary
Treasurer
Digital Officer
Community Officer

The committee generally meet every 6-8 weeks or where needed. The committee recognise that sub-committees from these roles will form to aid the success of the committee member.

In line with our constitution, ALL of the roles are available to stand for in 2024.
The requirements to fulfil a role are that you are EA affiliated to STORM and do not hold an officer role with another EA Club. All elected roles will retire after their term is complete, but will be eligible for re-appointment.

So what is the expectation for each role?

๐—–๐—ต๐—ฎ๐—ถ๐—ฟ๐—ฝ๐—ฒ๐—ฟ๐˜€๐—ผ๐—ป

A key individual who will lead the vision of the club for the next 2 years. Their views should remain impartial from their own personal views, and should embrace the values of all its members. They drive content for meetings as well as approving minutes of previous meetings. They manage the efficient running of committee meetings, AGMs and contribute to objective decision making by exercising sound judgement.

To ensure the committee act in the spirit of the Club, in the best interest of its members and in line with the constitution. They recognise particular achievements and make these known to the club. Generally encourage runners with their running and to promote local races.

Maintain a motivating presence, in person (at run nights, events, socials etc.) and via social media. This will also include working with associates from PCC, EA and other supporters.

Do not under estimate the time commitment for this role. Rewarding, but time effort is needed.

๐— ๐—ฒ๐—บ๐—ฏ๐—ฒ๐—ฟ๐˜€๐—ต๐—ถ๐—ฝ ๐—ฆ๐—ฒ๐—ฐ๐—ฟ๐—ฒ๐˜๐—ฎ๐—ฟ๐˜†

Key to the successful running of the club, the membership secretary would oversee the annual renewal process for members as well as responding to requests for information from potential members. This would include set up new members on England Athletics site and assisting potential members wanting to transfer to/from STORM by providing documentation to support the transfer.

Initiate EAA payments promptly for new members to enable them to claim subsidised race entries

Issue renewal notices to members at year end and chase non-payers.

Oversee the recording of attendance registers and new starters. This is a huge task, but an essential one, recording club attendance.

This role would also apply for club entries to the London Marathon.

๐—–๐—น๐˜‚๐—ฏ ๐—ฆ๐—ฒ๐—ฐ๐—ฟ๐—ฒ๐˜๐—ฎ๐—ฟ๐˜†

Working closely with the chairperson, this role would source meeting rooms for committee meetings and AGMs (Annual General Meetings). In addition they would draft agendas for committee meetings and AGMs. At committee meetings, they would take minutes. Issue draft minutes to committee for review and comment. Issue final minutes to general membership via the app.

๐—ง๐—ฟ๐—ฒ๐—ฎ๐˜€๐˜‚๐—ฟ๐—ฒ๐—ฟ

The cash figure head of the club, someone with an eye for numbers, trusting with excellent finance administration skills. The treasurer will record all payments and receipts as well as completing regular banking for cash collected at run nights. In addition, at renewal time for EA, working closely with the Membership Secretary. Prepare reconciliations of the bank account and produce accounts every 3 months for the committee meeting. Give brief report at meetings and produce year-end accounts for the AGM.

Pay all bills and expenses in a timely manner using online banking where possible.

Again, this is a role that requires time commitment to keep on top of the finance admin. A trusted role requires a diligent approach so maintaining records daily/weekly is a must.

๐——๐—ถ๐—ด๐—ถ๐˜๐—ฎ๐—น ๐—ข๐—ณ๐—ณ๐—ถ๐—ฐ๐—ฒ๐—ฟ

The person who takes responsibility for the website, app and STORM social media sites. Use clear concise and motivating language to announce new news feeds as well as promoting future events (running and social).

Innovation for STORM has been critical for our success; the social media role is expected to take us that next step further in keeping up to date with technology use.

๐—–๐—ผ๐—บ๐—บ๐˜‚๐—ป๐—ถ๐˜๐˜†

A role within the committee structure which totally embraces our values. The role will promote a balanced fundraising programme throughout the year and engage members to support. To be successful, a clear connection to the sub social group is needed as well as a passion to promote all purple and give something back to the community. Doing something different to the norm, not just setting up fundraising but engaging our members to support others. This role has been taken by a single person or a duo in the past and does lend itself well to being a two person effort where more ground can be covered.

Applications for these roles are now open until 5pm on 9th February. Voting will follow if more than one application is received for any role.

Committee members will be announced in February 2024 at the AGM.
